Share reports externally

Easily share time-stamped report snapshots with anyone—no Intercom login or authentication is required.

The External Report Sharing feature lets you share read-only snapshots of your Intercom reports with external stakeholders outside of Intercom. Each snapshot captures your report’s data and visuals at a specific point in time, giving collaborators clear visibility into your key metrics—without requiring an Intercom login.

These reports are publicly accessible via a unique link that remains active for 30 days and then automatically expires.

How to share reports externally

  1. Open your report in Intercom.

  2. Click Share at the top right.

  3. From the dropdown menu, select Share externally.

  4. In the side drawer, click Generate & share link.

A public link to a static snapshot of your report will be created for you to copy and share.

Note: The link shows a read-only version of your report as it appeared when shared. It will not update automatically if your report data changes later.

What others see

Anyone with the link can view your shared report. The interface looks identical to your report in Intercom, but filters and time ranges are read-only and can't be edited.

Important: Externally shared links are public and accessible to anyone who has the URL. Avoid sharing links that include sensitive or confidential data.


Troubleshooting and limitations

  • Data freshness: Snapshots reflect your report at the moment of sharing and are not updated in real time.

  • Visual differences: Some colors or tooltip formats may not align exactly with the live report.

  • Label inconsistencies: Labels such as Unknown, Unassigned, or No rating may appear as Unknown in shared snapshots.

  • Link expiry: All links automatically expire 30 days after creation.


FAQs

How long are links active?

External report links remain valid for 30 days after creation and then expire automatically.

Why does the data in my shared link differ from my live report?

There are two possible reasons:

  • Time difference: Snapshots reflect the data when the link was created, so newer activity won’t appear.

  • Filter difference: Snapshots save report-level filters only, not view-level filters you may have applied after editing.

Can external viewers edit or refresh the shared report?

No. Shared reports are static and read-only. They can’t be modified or refreshed.

What should I do if the snapshot looks incorrect?

Check whether filters were saved at the report level and ensure you’re viewing the correct time range. If issues persist, reach out to your internal reporting team and ask them to check their filters, save the report, then share it again to generate a new external link.

Tip: To ensure consistent data sharing, review snapshots before sending them externally and confirm that the data reflects your intended reporting period.
