Automatically send time-based snapshots of your reports to key stakeholders via email. You can send reports to Intercom teammates, roles, or external email addresses. Recipients will receive a single public link that displays your key metrics and charts.
Note: Links are active for 30 days and then automatically expire.
How to schedule external report sharing
When you want to schedule one of your reports to be shared with external stakeholders regularly:
Go to Reports and open your report.
Click Share at the top right.
From the dropdown menu, select Schedule delivery.
Add your recipients
Here you can share this report with internal and external stakeholders by adding them to the "Recipient(s)" field.
You can add recipients using a few methods:
An email address
Their teammate profile
Name your schedule
Give your schedule a clear name so you can easily identify it, and make changes later on.
Add a message (optional)
Send an optional message with your scheduled report so your stakeholders have some context on the report being shared.
Set the schedule frequency
Choose a frequency:
Daily: report sends every day.
Weekly: pick one or more weekdays (e.g., Monday, Thursday).
Monthly: pick a day of the month (e.g., 1, 15, or “Last day”).
Custom: select specific days of the week or specific dates of the month.
For the selected frequency, set the time of day the report should be sent.
How to manage your report schedules
You can manage the schedules you've created for report sharing by going to Reports > Manage Schedules.
Click the three dot menu next to a report to edit or delete the schedule:
Edit opens a side drawer where you can update all of the schedule details. Apply your changes and then click Update schedule.
Delete opens a modal confirming your intent. Once deleted, this schedule will no longer run (no snapshots will be generated for this schedule and no emails will be sent to recipients).
What stakeholders see
Recipients and the report owner will receive emails according to the frequency you set, detailing the schedule title, name of owner, a message (if provided by schedule owner) and a link to the freshly generated report.
Anyone with the link can view your shared report. The interface looks identical to your report in Intercom, but filters and time ranges are read-only and can't be edited.
Note:
Data freshness: Snapshots reflect your report at the moment of sharing and are not updated in real time.
Visual differences: Some colors or tooltip formats may not align exactly with the report in Intercom.
Label inconsistencies: Labels such as Unknown, Unassigned, or No rating may appear as Unknown in shared snapshots.
Link expiry: All links automatically expire 30 days after creation.
