Use this article to understand what Google Calendar data Intercom's Workforce Management feature accesses when a teammate connects their calendar, how that data is used, and how it's protected. Workforce Management, including Google Calendar connection, is included in the Pro add-on and is used by teammates, not customers — customers' calendar data is never involved. Teammates connect their Google Calendar to Intercom using Google's OAuth (Open Authorization) consent flow.
Note: Workforce Management is included in the Pro add-on.
What Google Calendar data does Intercom access?
If a teammate connects their Google Calendar, Intercom accesses, on behalf of the teammate's employer and in accordance with our Data Processing Agreement (DPA), the following information from their Google account via the Google Calendar API:
Calendar information from the connected Google account, including the teammate's calendars and the events on them.
The email address of the connected Google account.
How does Intercom use Google Calendar data?
We use the connected account's calendar information and email address to list the teammate’s available calendars so they can select which one to connect, display the teammate's calendar events within workforce scheduling tools, classify events into activity types for staffing and scheduling purposes, generate historical staffing and Teammate Performance reports, and create, update and delete calendars and events in the teammate's Google Calendar representing their scheduled shifts. We don’t use this information for any other purpose.
How does this comply with Google's API policies?
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google OAuth tokens are stored encrypted and deleted if a teammate disconnects their Google Calendar. When a teammate disconnects, Intercom also stops syncing — event titles from Google Calendar are never stored in the first place. Scheduled activities already synced into Workforce (times and activity type only) remain in the schedule so historical staffing and Team Performance data stays intact; they're deleted when the teammate is removed from the workspace.
