Use this article to build and apply schedule templates, make one-off schedule changes, and export or audit your team's schedule.

The Schedule templates page listing templates by name, type, number of teammates, number of events, and timezone, with a New template button in the top right.

There are two ways to get activities onto your team’s schedule: apply a schedule template to roll out a repeating week or day pattern across a group of teammates, or add and edit activities directly on a teammate’s row for one-off changes. You can combine both: apply a template, then adjust individual days as things change.

Before you start, you need at least one activity type set up. See How to use calendar settings in Workforce Management.

Note: Workforce Management is included in the Pro add-on. This article is for teammates with the Can manage Workforce permission.

What is a schedule template?

Schedule templates are reusable week or day patterns you apply to a group of teammates. A template defines what each day looks like, for example inbox time, meetings, and breaks, and can be applied repeatedly across multiple weeks.

View and manage templates under Workforce > Configure > Schedule Templates. The list shows each template's type (Week or Day), the number of teammates, the number of events, and its timezone.

Templates are daily or weekly. For regular individual constraints, for example a teammate who only works Tuesday to Saturday, build that pattern into the template, or have the teammate block their Google Calendar if sync is on.

How to create a schedule template

  1. Click New template.

The New template dialog with fields for Name, Template length set to Week, and Timezone set to Dublin, and a Create template button.
  2. Give it a name, for example “EMEA Week Pattern”.

  3. Under Template length, choose Week or Day.

  4. Under Timezone, choose the timezone to anchor the template in. Pick the timezone the teammates on this template work in; you can set a different timezone for each template if you plan across regions.

  5. Click Create template.

The template opens empty. To add teammates, click Teammates in the top right, search for and Add each teammate, then click Done. Each teammate you add starts with a 9–10am event you can adjust.

The Teammates dialog in the template editor, with a search field and a list of teammates each with an Add button, and a Done button.

Click an empty part of a teammate’s row (or click and drag across the hours you want) to open the Add event dialog:

  1. Choose the Activity type.

  2. Set the Duration using a preset (15m, 30m, 1h, 2h, up to 9h) or type a number of minutes.

  3. Optionally add a Title. If you leave it blank, the event uses the activity type’s name.

  4. Click Add.

The Add event dialog in the template editor showing the Activity type dropdown open with options such as Inbox Time, Lunch, Break, Training, and PTO, duration presets from 15m to 9h, a minutes field, and an optional Title.

Drag an activity to move it, or drag its edges to resize. Use the day picker at the top (it shows the current day, for example Monday) to switch days in a week template, or choose Week to see every day at once. Use Search teammates to find a row in a large template.

How to duplicate a template, a day, or a teammate’s events

There are three ways to copy in schedule templates, and they work at different levels. Pick the one that matches what you want to reuse.

Duplicate a whole template

Use this to create a variant of an existing template, for example a summer version of your standard week, without starting from scratch.

  1. Open the ⋯ menu on the template’s row and select Duplicate.

The copy appears in the list as “[Template name] (copy)” with the same type, teammates, events, and timezone. Use Rename & timezone in its row menu to give it a new name.

The Schedule templates list showing a template named EMEA Test and its duplicate EMEA Test (copy), with the row menu open showing Rename & timezone, Duplicate, and Delete.

Duplicate a day within a template

Use this to build a week faster: set up one day, then copy it to the others.

  1. Open the template and use the day picker to select the day to copy from, for example Monday.

  2. Click Duplicate day. The dialog shows how many events it will copy, for example “Duplicate 11 events from Thursday”.

The Duplicate 11 events from Thursday dialog, with day buttons under Duplicate to showing existing event counts next to Monday, Tuesday, and Saturday, and Action for existing events options Replace existing events and Add to existing events.

  3. Under Duplicate to, select one or more days. A number beside a day shows how many events it already has.

  4. If any selected day already has events, choose an option under Action for existing events: Replace existing events clears those days first, or Add to existing events keeps what’s there and adds the copied events on top.

  5. Click Duplicate.

Copy a teammate’s events to other teammates

Use this to give several teammates the same pattern within a template.

  1. Open the template and switch the day picker to Week to see every day at once, or stay on a single day.

  2. Open the ⋯ menu on the teammate’s row and select Copy events to teammates.

A teammate’s row menu in the template editor in Week view, showing Copy events to teammates and Remove teammate.
  3. Search for and select the teammates to copy to, then click Copy events.

Existing events on those teammates stay, and you can copy up to 50 events at once. The same row menu also has Remove teammate, which takes the teammate and their events out of the template.

How to apply a template

  1. Go to Workforce > Schedule.

  2. Click Apply template.

  3. Select a template.

  4. Pick the date to apply it to. For a week template, pick any day in the week you want to fill (weeks run Sunday to Saturday). To apply it more than once, tick Repeat and enter up to 5 weeks, or up to 5 days for a day template. To cover a longer period, apply the template again starting from the week after the last one.

  5. Under When events already exist, choose how to handle conflicts:

    • Keep existing events (default) applies the template alongside what’s already scheduled, including events from earlier template applications. Where an existing event covers the same time, both stay and overlap, so applying the same template twice creates duplicates. Resolve overlaps by hand on the Schedule.

    • Replace events removes events from earlier template applications in the selected period. Events you added by hand are kept.

  6. Review the Changes summary, then click Apply template. The schedule view updates immediately to show the newly applied events.

Note: Replace events only removes events from earlier template applications. Events you created by hand, such as “PTO” or “Off sick” added directly in the Schedule, and events synced from Google Calendar are never removed or overwritten.

How to add a one-off activity

To add a single activity to a teammate's schedule on the Workforce > Schedule page, such as a one-off meeting, an extra break, or any intraday adjustment, add it directly on their row:

  • Click an empty part of the row to drop a standalone activity, then choose its activity type.

  • Or click and drag across the hours you want to set the activity's length as you create it.

Drag an existing activity to move it, or drag its edges to resize. You can schedule and edit events down to 15 minutes; the Forecast and coverage views show a minimum of one hour.

Note: Where Google Calendar sync is on, creating an event in the Schedule or applying a template pushes it to each connected teammate's Google Calendar. These events can't be changed from Google Calendar: moving, renaming, or deleting them there has no effect on the Workforce schedule. Make schedule changes in Workforce.

How to export a schedule

Export the schedule you're viewing as a CSV (comma-separated values), for sharing outside Intercom or keeping a record of what was scheduled.

  1. Go to Workforce > Schedule.

  2. Set the filters and date range you want to export.

  3. Click Export schedule. The CSV file downloads immediately to your browser's default download location.

The export covers the teammates and date range currently in view, so filter before you export. It includes every saved event for those teammates and dates: events from applied templates, one-off activities, and events synced from Google Calendar. Events of any activity type you've filtered out aren't exported, and unsaved changes aren't included. You can export past and future events.

The file contains one row per activity with these columns:

Column

What it contains

teammate_id

The teammate's Intercom ID

teammate_name

The teammate's name

teammate_email

The teammate's email address

activity_type

The name of the activity type

productive

TRUE or FALSE, from the activity type's productivity setting

timezone

The timezone the start and end times are in, for example Europe/London

start

Activity start, as YYYY-MM-DD HH:MM

end

Activity end, as YYYY-MM-DD HH:MM

Anyone with Can access Workforce can export. Can manage Workforce isn't required.

Note: You can export up to 31 days and 200 teammates at a time. Export schedule is disabled if your selection exceeds either limit; narrow your filters or date range, or export in batches.

How to see when an event was last updated

Click any event in the Schedule to see when it last changed and who changed it, so you know the shift in front of you is current before you plan around it.

  • Events created in Workforce show "Last updated 2 hours ago by [name]".

  • Events synced from Google Calendar show "Last synced 2 hours ago from Google Calendar". The time only changes when a sync actually changed the event.

No extra permission is needed; anyone with Can access Workforce sees the stamps.
