Set a workspace-specific avatar

Learn how to set a unique profile avatar for each Intercom workspace you belong to.

If you work across multiple Intercom workspaces, you can set a unique avatar for each one. This allows you to maintain a different professional appearance for different brands or teams while using a single Intercom account.

How it works

When you upload a new profile photo, you can choose to apply it globally across all your workspaces or only to the one you are currently using.

Note: The Update for this workspace only option is only visible if you belong to more than one workspace. If you only have one workspace, your avatar updates will always be global.

Where your avatar appears

Workspace-specific avatars are resolved consistently across the platform:

  • Inbox: Appears in conversation parts, the participant list, and assignment indicators.

  • Messenger: Customers see your workspace-specific photo during live conversations.

  • Knowledge base: Your avatar appears in the author byline for articles you've written.

  • Email & Mobile: Updates are reflected in outgoing emails and the Intercom mobile app.


Set a unique avatar for a workspace

Follow these steps to customize your appearance for a specific workspace:

  1. Click on your profile icon in the bottom-left corner of Intercom and select Settings > Personal > Details.

  2. Click on your current avatar to open the Update profile photo modal.

  3. Click Choose new photo to select an image from your device.

  4. Check the box labeled Update for this workspace only.

  5. Click Update.

Important: If you leave the box unchecked, the avatar will be set globally across all your workspaces, replacing your current default photo.


How avatars are displayed

Intercom uses a "waterfall" method to decide which image to show:

  1. Workspace avatar: If you have set a specific photo for the current workspace, Intercom uses it.

  2. Global custom avatar: If no workspace avatar exists, your global uploaded photo is used.

  3. Generic placeholder: If you haven't uploaded any photo, Intercom shows your initials or a default silhouette.


FAQs

Can I set different avatars for every workspace I belong to?

Yes, you can repeat the upload process in each workspace to set a unique image for each one.

Will my existing avatar change?

No, your existing avatar remains your "Global" avatar. To use the new feature, you must manually upload a photo and select the workspace-only option.

Do customers have any control over this?

No, this is an admin-controlled setting. Customers will see whichever avatar you have assigned to that specific workspace.

What happens if I update my global avatar?

Your workspace-specific avatars are preserved. The global avatar and workspace avatars operate independently.
