Inbox search and filter

Search and filter conversations and tickets in the Intercom Inbox, including how to apply filters, take bulk actions on matched results, tag conversations, and find conversations by ID, email, or company.

Searching the Inbox is straightforward, you just type in your query and get your results. But with a few more tips, you can become an advanced user and find what you are looking for much faster!


How to search for keywords in the Inbox

To perform a full search for conversations or tickets across all inboxes, click the Search icon at the top of the Inbox main menu.

Then, start typing your keywords. Conversations and tickets that match your search will automatically be shown. Use the selector at the top of the results to filter by All, Conversations, or Tickets.

How Inbox keyword search works

When you make a search, Intercom returns conversations and tickets that match your query.

  • Only conversations or tickets containing most of the words in your query are returned, in any order.

  • Punctuation in the search query is usually ignored.

  • Common words like a, an, the as these words are found in almost all the conversations and do not contribute to the relevance of a match.

  • Keyword searches are not case sensitive. For example, pdf and PDF will return the same results.

  • Searching using Boolean logic (combining terms with AND or OR) is not supported. However, you can combine keywords with filters, such as tags or dates — for example, filtering by tag and searching for a keyword at the same time.

  • The search matches words in your query exactly, but also returns conversations with similar words. For example, searching for running may also return conversations containing run.

Tip: Sometimes, this similarity matching is not required, and you want to return conversations or tickets that match your query exactly. For these cases, you can wrap your query in double quotes (like "I enjoy running") which will only return results where there is an exact match.

Your search results will appear in the order of most relevant conversations first. To view the oldest, or newest conversations first, use the dropdown on the right:

Note: Keyword search is currently optimized for English. If you’d like to see better support for other languages, let us know in the Messenger.

Searching keywords within inbox views and table view

You can search for conversations/tickets directly within an inbox view. The search interface differs slightly depending on whether you're using list view or table view, but both provide the same scoped search functionality. This is useful when you want to quickly narrow down results without leaving your current view or inbox.

For list view:

  • In list view, click the search button located next to the view's title. This reveals a search input field.

  • As you type, the list automatically updates to show matching results.

For table view:

  • In table view, the search input field is displayed at the top of the table (it's always visible).

  • As you type, the table automatically updates to display matching results.

Note:

  • This search is scoped to the current view, including all filters applied to that view.

  • This search looks only at conversation/ticket text (message content) and does not support adding additional search filters.

  • Search behavior (keyword matching) is the same whether a view is displayed in list layout or table view.


Using filters in your searches

Here are the available filters when using the main Inbox search:

  • Teammate assigned

  • Team assigned

  • Tag

  • User (allows you to search for the specific customer (lead or user) who started the conversation)

  • Company

  • Created

  • Status

  • Topic

  • AI Topic (a label automatically assigned by Fin based on the subject of the conversation)

  • AI Subtopic (a more specific label within the AI Topic category)

  • Brand

  • Created by

  • Conversation Data Attributes (custom fields added to conversations by your team)

  • Tickets and Ticket Attributes

Note: Inbox search and all search filters — including the Created date filter — are not available to teammates with Lite seats. Lite seat teammates must have a direct conversation or ticket link to access it. Full seat teammates looking for conversations from a specific company or customer can also browse via Contacts → Conversations as an alternative to using search filters.

Note: Filter behavior varies depending on the filter type:

  • Text filters (e.g. free text fields) are case sensitive and require an exact match (there's no fuzzy or partial matching). Make sure to use the exact value when filtering.

  • AI Topic and AI Subtopic filters do not currently support fuzzy matching. You'll need to select or enter the exact AI Topic or AI Subtopic name.

  • Other filter types (e.g. teammate, tag, status) use structured values selected from a list, so exact matching isn't something you need to worry about.

To find something more specific, like mentions of a topic within a certain date range, or all conversations with a specific tag, you can add filters to your search. For example, if you’re trying to gauge interest in a new reporting feature, you could search for all conversations with the keyword “Report” that also have the tag “Feature Requests”.

You can also search without any keywords, using only filters to find relevant conversations.

Example: “Tag: Beta feature, Date: Last 30 days”.

To add filters to your search, type any keywords you’d like to include, then select one of the filters below the search bar, such as Tag.

Note: You can also add keywords after choosing your filters.

Next, start typing the name of the tag you’d like to filter by, and select the right one.

This will return all conversations containing that keyword, with that tag applied.

If you want to further refine your search, you can add more filters in the same way as above, like Created at date.

Then, select the value you’d like to filter by.

Using filters to search for data attributes

You can also search all inboxes and filter by conversation Data Attributes or ticket Attributes. Simply use the + filters button to choose the filter you need for your search term.

Note:

  • All filters are combined using And logic. Only conversations that match all of the filters and keywords will be returned. It’s not currently possible to filter your conversations with Or logic.

  • You can use operators like is and is not when filtering by list attributes (e.g., Tag is not "Beta feature") to exclude specific results.

  • If you filter for multiple users, you will see only group conversations where all of the users are participants. You won’t see conversations with individual users.

To remove a filter for a broader search, click on the filter and then hit Remove.

Tip: Searches and inbox views that rely heavily on “contains” filters or multiple custom data filters can be slower to load. For frequently used values, consider using tags or more specific filters to keep results fast and reliable. Learn more about troubleshooting inbox view load errors.


Taking bulk actions on search and filter results

Once you have search or filter results in the Inbox, you can act on all matching conversations — not just the ones you've hand-selected.

To select every conversation matching your current search or filter (up to 10,000), press ⌘K (Mac) or Ctrl-K (Windows) to open the Command-K keyboard shortcut menu on any search or filter results view, then choose Select all matching.

From there, you can apply the following actions across the entire matched set:

  • Close

  • Reopen

  • Assign to team or teammate

  • Set priority

  • Change ticket state

  • Trigger a workflow

  • Link to tracker ticket

Note: Jobs over 1,000 conversations run in the background. You’ll see a “started” notification immediately, and a “completed” notification when the job finishes. The results list refreshes automatically when complete — conversations that no longer match the active filter are removed without a manual reload. Conversations that can’t take the chosen action (for example, because they’re already in the target state) are skipped silently.


How to tag conversations and contacts

Tags can be applied to both conversations and people (users and leads) in Intercom. Understanding the difference between the two helps you organize and filter your Inbox more effectively.

Person tags vs conversation tags

  • Person tags are applied to a user or lead's profile and persist across all their conversations. They categorize the person themselves, not any specific interaction.

  • Conversation tags are applied to a specific conversation to categorize or label that interaction. These are the tags used by the Tag filter in Inbox search.

Adding a tag to a conversation

To add a tag to a conversation directly from the Inbox:

  1. Hover over any message in the conversation to reveal the action toolbar.

  2. Click the tag icon that appears in the toolbar.

  3. Start typing to search for a tag, then select it from the list to apply it to the conversation.

Note: Tags added this way are conversation tags. To add a person tag, go to the customer's contact profile and add a tag from the Tags section in the details panel.


Searching for a conversation ID

When you search for a number, the results display the specific conversation matching that ID. The search also includes any conversations where that number appears within the text.

Tip: You can identify a unique Conversation ID by looking at the end of the URL when viewing a conversation in the Inbox (e.g., .../conversations/215472322478539).

Note: This search functionality is available to teammates in the Inbox only. End-users (customers) cannot search for conversations by ID within the standard Messenger widget.


Searching for a ticket ID

When you search for a number and filter by Tickets, the results display the specific ticket matching that ID. The search also includes any tickets where that number appears within the content.

Searching by email address

You can search by users simply typing in their email address. There is no need to select the User filter option first.

If you type in bob@example.com you’ll find all conversations with users with that email address. You can surround the email with quotes if you want to search for the email in the text of the conversation, ie. "bob@example.com"

Searching by company

Conversations and tickets are associated with companies in different ways:


Conversations

Conversations can be associated with companies in two ways:

  • Explicit association: A company is directly linked to the conversation. This happens automatically if the user belongs to exactly one company , or can be set manually via the Inbox or Messenger.

  • User-based association: If no explicit company is set (e.g. the user belongs to multiple companies), the conversation is visually linked to companies based on the participants involved.

When you search or filter by company, the search returns:

  • Conversations that are explicitly associated with the selected company.

  • If no explicit association exists, conversations that include at least one participant from that company.

Note: For companies with a very large number of users (tens of thousands), the company filter reliably returns conversations explicitly associated with the company. Conversations linked only because a company member participated (with no explicit association) may not be included. To ensure a conversation always appears, associate it with the company explicitly via the Inbox or Messenger.

In table mode, conversations with user-based (implicit) associations will show a tooltip indicating that the association is inferred from the user.

Tickets

Tickets can be associated with only one company at a time.

  • You can choose which company a ticket is associated with during creation.

  • This association can be updated later from the Inbox.

When you search by company, all tickets explicitly associated with that company are returned.


How to sort your search results

Sort matching conversations and tickets in three ways:

  1. Relevance (default)

  2. Newest activity

  3. Oldest activity

When you search, Intercom looks at various factors and returns the most relevant conversations and tickets first. Some of the factors considered are:

  • How many of the search terms match the conversation or ticket?

  • How many times do the search terms appear in the conversation or ticket?

  • Do we have an exact match?

  • How recent is the conversation or ticket that matched?

The Relevance sort is used by default because it has a higher chance of surfacing the conversations and tickets you are looking for first. But sometimes this assumption can fail.

For example, sometimes you might be looking for the most recent conversation that matches your query, even though there are other better matches. For these cases, we suggest using the Newest activity sort that returns matching conversations based on when they were last updated.

Tips for finding conversations faster

General search tips

If you are looking for a particular conversation or ticket, try to search for words that are present in the conversation/ticket but are otherwise uncommon. For example, if you are looking for a conversation containing: Hey, help needed! How do I make cookie dough?. If you search for help needed, you might also find other conversations where people are asking for help. A better search here could be cookie dough.

Adding more words that exist in the conversation or ticket you are looking for will help you find your conversation faster. In the previous example, searching for cookie help needed is better than help needed.

Use double quotes when you know the exact phrase you are looking for. For example, searching for "make cookie dough" will return only those conversations that contain exactly these three words in the same order.

Find conversations participated in by a specific teammate

The Inbox search will allow you to search for all conversations currently assigned to a specific teammate and you can also search by the conversation state:

You can also create an Inbox View to easily access these conversations.

However, these options will not show conversations they participated in that are not currently assigned to the Teammate. If you wish to find all conversations participated in, you will need to create a Custom Report and use the "Chart drill-in" option.

Finding conversations and tickets created by you

The Created by you inbox shows items created by the teammate who's logged in, so it's a quick way of finding conversations and tickets you've created, even when they’re assigned to someone else.

This includes:

  • Outbound conversations

  • Tracker tickets

  • Back-office tickets

  • Customer tickets

Note: conversations or tickets that were created by a customer won't be included. If a Customer ticket is created from an outbound conversation, the "creator" will remain as the teammate who created the outbound conversation.

The inbox counter shows the number of open items that were created by the teammate who's logged in. The counter will automatically update when new items are created or when an item changes status (i.e. closing a conversation will reduce the counter).

See who created a conversation or ticket

  • Using table layout – A "Created by" column is also available in table view. You can access it by scrolling to the right until you reach the end of the table, then click the + icon in the table heading and select "Created by".

  • Using the details sidebar – You can also check who created an outbound conversation or Customer ticket in the "conversation attributes" section of the Details sidebar.

Filter by creator

In search – Filter Inbox search results with the "Created by" filter. To do this, open the search page, click + filters and select "Created by". Once added, select a teammate.

In views – Use the "Created By" filter when creating views. To do this, open the view modal by either editing or creating a view. Click + Add filter and select "Created by". Once added, you are able to select is, is not, is unknown, and has any value. You can then search for teammates and select one.

Don't have access to Inbox?

If you do not have a subscription that includes the Inbox, all inbound conversations can still be found in the Contacts > conversations section. You can reply to these conversations from that page.
