Export your conversations data

Easily export your conversation content and data to further analyze your team's performance.

Written by Michelle Faughnan

Use this guide to find the right export method for what you need — whether you're pulling a quick snapshot of your current queue, extracting data for analysis, or setting up automated reporting. It covers conversation-related exports only; for user or ticket data exports, see the relevant settings pages.

Each section below covers a different export method. Jump to the one that fits your situation.

Download individual conversation content

If you only need a specific conversation or ticket, you can download it individually:

  1. Go to the conversation or ticket in your inbox.

  2. Click on the three dots at the top right corner.

  3. Select the option:

    • Export conversation as text (or Export conversation as PDF).

    • Export ticket as text (or Export ticket as PDF).

Intercom conversation view showing the three-dot menu open in the top-right corner, with 'Export conversation as text' and 'Export conversation as PDF' options visible in the dropdown

Both PDF and text exports include the complete message chronology with timestamps, all participant information, and all visible conversation content. Internal notes are excluded from transcript exports, unlike ticket exports, there is no option to include them. AI summaries and metadata are included when available, and sensitive payment data (such as card numbers) is redacted at the point of entry.

How do I download a chat transcript as a customer in the Messenger?

If you're chatting with us in the Messenger and want a copy of the conversation, you can download a transcript directly from the chat window.

  1. Open the conversation in the Messenger.

  2. Click the three-dot (⋮) menu.

  3. Select Download transcript.

Note: This downloads the conversation as a text (.txt) file. PDF export and the "Export conversation as text/PDF" options described above are only available to teammates exporting from the Inbox — they are not available to customers downloading from the Messenger.

Download conversation content in bulk via the API

For large-scale exports, you can use Intercom's Conversations API to retrieve full conversation content in bulk.

  1. List conversations: Use the Conversations API to retrieve a list of conversation IDs.

  2. Retrieve content by conversation ID: Use a GET request on each conversation ID to pull detailed content.

Note:

  • The Export API allows exports for a maximum 90-day timeframe per request, without volume restrictions.

  • Bulk conversation content exports through the Intercom workspace UI support up to 200–300 conversations per operation as PDF or text. For larger volumes, use the Conversations API.

Export a saved View as CSV

Getting the current contents of a View out of Intercom used to mean rebuilding its filters in a report or copying rows by hand — and a report answers a different question anyway: what happened over a date range, not what matches right now. You can now export any saved Inbox View to CSV as a point-in-time snapshot, with the same columns, the same order, and a link back to every conversation. Pull the list, split it by owner in a spreadsheet, and click back into Intercom to act on it. Exports up to 25,000 cells download immediately; larger ones arrive by email. Available on all plans with Inbox access (US, EU, and AU data residency). Released August 28th, 2026.

Inbox left nav showing a saved View called 'Account' with its actions row open, including the download icon tooltipped 'Export as CSV' alongside edit, duplicate, and pin icons

Note: You need the Can export conversation data permission and an Inbox seat to use this feature.

How to export a View

  1. In the Views section of the Inbox left nav, hover over a saved View to reveal its action icons, then click the View name to open its details.

  2. In the actions row (alongside edit, duplicate, and pin), click the download icon — tooltipped Export as CSV.

  3. For Views up to 25,000 cells (e.g. 1,000 rows × 25 columns), the file downloads immediately in your browser — the icon shows a spinner while it runs and blocks re-clicks. For larger Views, you'll see "We'll email you a link when it's ready" — the download link arrives by email, with the View's name in the filename.

Note: If the icon is dimmed and shows "Nothing to export", the View currently matches zero conversations. This is not a bug — adjust your View's filters.

What's included in the export

  • A point-in-time snapshot of every conversation or ticket matching the View's filters and the selected status filter at the moment you click — not a live feed, not a scheduled export, not a historical report

  • Your visible columns only, in the order they appear on screen — hidden columns are not included

  • Values formatted as they appear in the table (e.g. priority, state, and channel come through as labels; assignees, teams, tags, and companies resolve to names rather than IDs)

  • A direct Intercom link to every conversation or ticket in the file

A View can hold conversations, tickets, or a mix. The file uses one shared column set, with blank cells where a column does not apply to a given row (for example, ticket-only columns on a plain conversation).

  • Most table columns export — the unread indicator and search preview snippet are excluded as they carry no meaning in a file

Audit trail

Every export is recorded in the Team Activity Log before the job starts, naming the View that was exported.

  • Up to 25,000 cells (e.g. 1,000 rows × 25 columns): downloads instantly in the browser

  • Above 25,000 cells: runs in the background and arrives by email

  • More than 100,000 rows: the export is refused upfront with “This view matches more than 100,000 conversations. Narrow its filters and try again.”

  • Two exports already running for the workspace: you’ll see “An export is already running for this workspace. Try again once it finishes.” — this is a per-workspace limit, not per-teammate, so another teammate’s export can block yours

  • Saved Views only: system and default Views (such as “Inbox”) cannot be exported

  • No scheduled exports: each export must be triggered manually — there is no recurring option

  • No cancellation: once a background export is running it will run to completion or time out

  • Access rules apply: conversations you cannot see are excluded from the file, BPO team separation is honoured, and contact PII is masked unless you have permission to reveal it

  • Export failures: you’ll see a toast with a Try again option for instant exports, or a failure email for background exports

Download conversation content in bulk from the Inbox

You can bulk-export conversation content directly from the Inbox as PDF or text files — no API required.

Comparison of bulk export methods

The following table compares the two bulk export methods available from the Intercom Inbox — both export full conversation content as PDF or text files.

Method

Format

Use case

Limitations

Individual UI export

PDF, Text

Single conversations

Manual, one at a time

Bulk UI export

PDF, Text

Multiple conversations

200–300 conversations per operation

How to bulk export

  1. Go to your Inbox and use the conversation filters to target the conversations you want to export.

  2. Select the conversations you want to export by checking the checkbox next to each one. Use the bulk selection control at the top to select all conversations in the view.

  3. In the bulk actions bar that appears, click ... (More actions).

  4. Type "export" in the search box, then select Export as text or Export as PDF.

  5. Your selected conversations will download as individual files to your device.

What's included in bulk exports

  • Complete message chronology with timestamps

  • All participant information

  • Visible conversation content (internal notes are excluded from transcript exports)

  • AI summaries and metadata when available

  • Redacted sensitive payment data (card numbers and other payment account data are redacted at the point of entry)

Export conversation data to CSV

With Intercom’s flexible CSV export feature, you can choose exactly what data you need and even schedule automatic exports.

Permissions required: Teammates need two permissions to use Dataset export:

  • Can access Chart drill-in — required to access the Dataset export page and view data.

  • Can export CSV — required to export data as a CSV file.

What you can export with Dataset export

  • Access to all 13 reporting datasets.

  • Full attribute coverage.

  • Custom column selection and attribute-based filtering.

  • Instant downloads (up to 10,000 rows).

  • Scheduled exports at regular intervals.

Tip: Two new attributes are available in the Conversations dataset: Has user reply (whether the customer replied, Yes/No) and First contacted by (Customer, Teammate, Fin AI Agent, or Workflow). Both can be used as filters and columns in your export.

Notes:

  • Conversation/message content is not included in the CSV export.

  • Filtering conversations by company_id is not supported in the Conversations Search API. To find conversations related to a company, first retrieve all contacts for the company, then search conversations using the contact_ids field.

This distinction highlights that CSV exports provide metadata summaries, whereas message content or full conversations require using tools like the Conversations API or Amazon S3 exports.

How to export a dataset CSV

  1. Select your dataset: Choose the dataset you want to export from the list.

  2. Pick your time period: Define the date range for the data you need.

  3. Filter by attribute (optional): Refine the data by specific attributes to narrow it to what's most relevant.

  4. Select your columns: Choose the specific columns to include in your export.

Reports > Dataset export page showing the column selection interface, with a list of available attributes that can be included in the CSV export
  5. Preview your export: Check the data looks right before you download.

  6. Export to CSV: Click Export CSV. The file can be used in any spreadsheet or analytics tool.

Important limitations:

  • Reporting metadata only: CSV exports contain reporting metadata (e.g. conversation IDs, timestamps, attributes, and metrics) but do not include full message or conversation content. To export full conversation content, use the Conversations API or Amazon S3 export.

  • Data availability: Data is generally available for up to two years.

The following walkthrough shows the full dataset CSV export flow in Reports > Dataset export.

Animated walkthrough of the dataset CSV export: selecting a dataset, choosing a time period, selecting columns, previewing the data, and clicking Export CSV

You can export conversation data for all metrics and attributes available in Intercom datasets.

Note:

  • Conversation data exports are limited to 10,000 rows when downloading in the browser. If your export exceeds this limit, it will be automatically emailed to you instead (this can take up to an hour depending on the size of your export).

  • The export will include all conversations where the Conversation created at timestamp falls within the selected time range. This includes outbound conversations where the customer never replied.

  • User data is captured at the start of the conversation, so your export will reflect the state of the data at that moment.

  • For in-app messages, the message needs to be delivered before it will be surfaced in the export and Deleted/Stopped messages are included in the export.

  • Although we don't currently have a new attribute to give the number of closes per conversation, you should be able to find this data by using the conversation actions dataset and filtering by "Action type = Close."

Scheduled export

If you’d like to receive a conversation data export with these filters at regular intervals, you can schedule an export:

  1. Build your export: Select your dataset, columns, filters and preset time range that you want to export on a regular basis.

  2. Create the new schedule: Click the schedule dropdown and select New schedule.

  3. Customize the schedule: Name the schedule and select the frequency that the schedule will be exported at.

  4. Save the schedule: Select the Schedule button to create the schedule.

Your export will now be delivered at the specific time and day selected in the schedule.

Reports > Dataset export page showing the schedule creation interface with options to name the schedule and select the export frequency

Manage scheduled exports

If you want to update or delete scheduled exports of conversation data:

  1. View existing schedules: Click the Schedule dropdown at the top and then select Manage schedules to update or delete schedules.

  2. Select which schedule to change: Hover over the selected schedule and select either to edit or delete the schedule.

  3. Edit schedule: Update the title/frequency of the schedule and save.

  4. Delete schedule: Hover over the schedule and select the Cancel schedule button to delete it.

Note: You can only edit the name of the schedule and the frequency it is delivered. To change the CSV export content you will need to create a new schedule with the desired attributes.

Export your conversation data as JSON to Amazon S3

When exporting to Amazon S3, conversations are stored as JSON data in an S3 bucket for further processing.

Note: Conversation and ticket data exported to S3 will not contain a transcript. To retrieve a transcript, you can either export the conversation directly from the Intercom UI, or use the REST API.

To export conversation data as JSON to Amazon S3, use Intercom’s Data Export feature, which offers both historical and periodic export options.

Note:

  • We've recently updated our exported file name to iso time format.

    i.e. 2025-01-01T00-00-00Z-2025-01-02T00-00-00Z-19.jsonl

  • JSON files stored in Amazon S3 are structured, providing detailed message content and attachments, ideal for in-depth analysis.

Export types

  • Historical: Export up to two years of conversation data.

  • Periodic: Set up hourly or daily exports of new and updated conversations.

How to set up an Amazon S3 export

The following shows the S3 export configuration screen in Settings > Data > Imports & exports.

Settings > Data > Imports & exports > Export data page showing the Amazon S3 export configuration screen with options for Historical and Periodic export types
  1. Select the output format and data API version exported conversation should be using.

  2. Choose between Historical or Periodic options.

  3. Follow the setup instructions to configure your S3 connection.
